Calls to prior V2V volunteers

This document provides guidance for making calls to people we have  previously said that they were interested in making V2V calls but who either have never made calls or are not actively making Volunteer to Volunteer calls (i.e., they have not been trained on the new V2V system). Our goal is to persuade these folks to make easy, friendly calls to like-minded people. Otherwise, we will take them off our list.

  • Getting access to the call list and information on each person to be called
  • Guidance for filling out the V2V call form
  • For folks who have done V2V calling in the past:

A few tips:

  • Be thankful and smile – they can tell over the phone if you are doing that!
  • Use this script outline as a start. Make this your own and feel comfortable with your conversations.

Getting Started

1. Get data for making calls

Three pieces of information are needed to make these calls:

  1. The list of all people to connect with is here.
  2. The list of who has previously made calls is here. This list is sorted by email. The reason for this list is that there is a different script and a different email based on whether someone has previously made V2V calls.
  3. Because Zoho does not update information across tables in real time, we need to assign ourselves independent sections of the list. This is done by selecting one or more alpha characters based on people’s first name in this list. will each sign up for one or more over time. For each letter you have selected, look for any potential V2V caller in the list who does not have a Call Date after March of this year.

Click on the link in the URL column on the Slackers list to get access to the form to fill out relevant information.

 

2. Filling out the V2V call form

The callee’s information should be fully filled out with their email, first and last name, phone number, and zip code. If any of this information is missing, it would be ideal to capture it when you talk to the person.

1. Call the callee using your phone.

2. During your call, please fill out the following information.

3. Select one of the drop down options from the Call Response prompt:

  • Committed – Ready to take next steps
  • Needs more info
  • Check back later
  • Not Interested/Busy
  • Left Voicemail
  • No Answer

4. If check back later, please enter the date and time for follow up.

5. Activities of Interest – select one or more as appropriate

  • Action coach – They want to be an Action Coach (see below for description), 
  • V2V caller – They are interested in calling prior volunteers (just like you are doing now), 
  • Chat Editor (see below for description)
  • Postcarder
  • Texter
  • Other

If the prior volunteer expresses interest beyond the tactics listed above, there is a dropdown menu to select the specific skill they would like to share by selecting ‘Other’.

6. Place any notes in the ‘Call Notes’ section. 

7. Ask if the volunteer speaks Spanish and click the box.

8. SELECT ‘NO EMAIL’ if you leave a Voicemail OR they are interested in V2V calling.

  • In the case of Voicemail OR interest in V2V calling (Committed V2V Caller, AC or Chat), YOU will send an email
  • If they need more information, or they have interest in doing a Specialized Skill or they want a follow-up call in the future, please select the appropriate email to send.

9. Please enter your first name and email on the form.

10. Hit the Submit button which enters the information into the database and sends the appropriate email.

 

 

Information for someone who has previously made V2V calls

Please call me back at _________ to discuss any questions you have about the V2V program, and how we can give you the tools you need to help us build an army of volunteers for the elections. I’m following up with you because it looks as if you joined our V2V (Volunteer to Volunteer) calling program and reached out to some of the prior volunteers we want to re-engage leading up to November’s crucial midterm elections, but you haven’t made calls recently and haven’t been trained on our new improved system that makes everything we do much easier and more efficient. I hope you’re doing well and would love to welcome you back on our team!

Then ask if the person has any questions about the V2V program, provide information about training sessions, and record if the person still wants to be involved. Let them know that you will be following up with an email.

If they are not interested in V2V calls, you can branch out to see if they are interested in being an Action Coach or if they have a special skill that can help Together. If they have a special skill, select Other and the special skill.

 

3. Sample email for voicemail follow up

Hello ______,

I’m sorry I missed you when I called to talk about your participation in Togethers’ Volunteer to Volunteer calling program to build an army of volunteers for the midterms. As I said in my voice mail, we miss you, and would love to have you back on our team!

Please let us know if you are willing to help out by signing up here; we can help get you started when you are ready.

To make these calls, we ask that you have a Together We Elect account and take the Volunteer to Volunteer (V2V) Connect training.

  • Step 2: You can attend  training sessions, get trained at one of our calling sessions or review this document which contains guidance for making calls to prior volunteers for Together We Elect and our allies. 1. Together We Elect

TOGETHER WE ELECT engages, motivates, trains, and supports individuals and groups to take effective action to strengthen Democratic representation in the U.S. House and Senate in 2022. We promote events and volunteer opportunities offered by organizations such as Activate America, Force Multiplier, Movement Labs, Movement Voter Project, along with candidates and coordinated campaigns in swing districts and battleground states. Last year, operating as Together for 2020, we mobilized more than 10,000 volunteers to elect Biden/Harris, take the Senate, and hold onto the House. 

 

2. Movement Labs

At Movement Labs (formerly Resistance Labs), our mission is to build a country that works for everyone.

We combine data, technology, and experimental methods with an army of passionate volunteers to build power. We use peer-to-peer texting to help grassroots organizing, recruit candidates to run for office, and help those candidates win. We look for opportunities to work in red and rural areas, and with communities that have too often been ignored.

Since we launched in 2017, we’ve sent over 200 million texts, worked with some of the nation’s top progressive organizations and campaigns in all 50 states, and mobilized over 11,000 volunteers for change.
